Reasons/purposes for processing personal data (information):

We process personal data to enable us to provide financial services and advice, to maintain our own accounts and records and to support and manage our employees.

Type/classes of personal data processed:

We process personal data relating to the above reasons/purposes. This information may include:

  • family details
  • lifestyle and social circumstances
  • goods and services
  • financial details
  • education and employment details

We may also process special category personal data, this is more sensitive information that may include physical or mental health details, racial or ethnic origin and trade union membership.

Who the personal data is processed about:

We process personal data about our customers, clients and suppliers and our employees.

Who the personal data may be shared with:

We will NOT sell or rent your information to third parties

We sometimes need to share the personal data we process with the individual themself and also with other organisations. Where this is necessary, we are required to comply with all aspects of the Data Protection Act 2018.

What follows is a description of the types of organisations we may need to share some of the personal data we process with for one or more reasons.

How long will we keep your personal data?:

We will assess and review how long we can retain and process your personal data, bearing in mind the following:            

  • the services we provide as financial planners
  • our duties as a responsible employer
  • our duties to our service providers
  • any legal, regulatory or statutory obligations applying
  • our lawful basis for the collection and processing of your personal data
  • the type of personal data we hold

Based on the above, some data can be deleted almost immediately, some held for up to 6 years, but some can be held (for regulatory and legal obligations) for much longer periods, – for some data we have decided upon a maximum of 40 years after the cessation of any service and any subsequent contact.

In all cases, we shall adhere to the ‘security principle’ by maintenance, review and improvement to our security for the protection of all personal data by means of appropriate technical and organisational measures.

Transfers outside the EU:

It may sometimes be necessary to transfer personal data overseas. When this is needed, information may be transferred to countries or territories around the world. Any transfers made will be in full compliance with all aspects of data protection, security and privacy compliance regulations and responsibilities in force at the time.

Your Personal Data – Your Rights:

You have many rights when it comes to your personal data – it is yours after all.

  • You can ask us what personal data we hold about you.
  • You can withdraw any consent you have given us at any time too.
  • We need to keep your personal data up to date, please let us know if your contact details change at any time, we will also check the details with you on a regular basis.
  • You can ask us to correct any information that we hold that is inaccurate or incomplete.

In ALL cases of processing individual or company’s personal/company personal data SFP shall consider the most appropriate and least intrusive basis to so do. SFP shall strive to adopt, review and maintain all reasonable security and safeguards to minimise any potential adverse impact resulting from such processing, in line with data protection, security and privacy compliance regulations and responsibilities in force at the time.
